  • "User" refers to the individual accessing or using the Service, or the company or other legal entity on behalf of which such individual is accessing or using the Service.
  • "Account" means a unique account created for You to access our Service.
  • "School" refers to the educational institution using our Service.
  • "Data" refers to any information, including personal information, uploaded, stored, or processed through our Service.
  • "Subscription" refers to the paid license to use the Service for a specified period.

2. Account Registration

2.1 Eligibility

To use CampusDesk, you must:

  • Be at least 18 years old or have authorization from a legal guardian
  • Represent a legitimate educational institution or be authorized by one
  • Provide accurate and complete registration information
  • Have the legal capacity to enter into binding contracts

2.2 Account Responsibilities

You are responsible for:

  • Maintaining the confidentiality of your account credentials
  • All activities that occur under your account
  • Immediately notifying us of any unauthorized access or security breaches
  • Ensuring that all users associated with your account comply with these terms

We reserve the right to terminate accounts that provide false information or violate these terms.

3. Service Usage

3.1 Permitted Use

You may use CampusDesk for legitimate educational and administrative purposes, including:

  • Student information management
  • Fee collection and financial tracking
  • Attendance monitoring
  • Staff and payroll management
  • Report generation and analytics
  • Parent communication via WhatsApp alerts

3.2 Prohibited Activities

You agree NOT to:

  • Use the Service for any illegal purposes
  • Upload or transmit viruses, malware, or harmful code
  • Attempt to gain unauthorized access to our systems or other users' accounts
  • Interfere with or disrupt the Service or servers
  • Scrape, copy, or redistribute our content without permission
  • Send spam or unsolicited communications
  • Violate any applicable laws or regulations

4. Data and Privacy

4.1 Data Ownership

You retain ownership of all data you upload to CampusDesk. We do not claim ownership of your school's data, student records, or any content you create.

4.2 Data Processing

By using our Service, you grant us permission to:

  • Store and process your data to provide the Service
  • Send WhatsApp alerts and notifications as configured
  • Generate reports and analytics based on your data
  • Create backups for data security purposes

4.3 Student Data

When processing student data, you confirm that:

  • You have obtained necessary consents from parents or legal guardians
  • Your data collection complies with applicable education and privacy laws
  • You will only upload data necessary for educational purposes

5. Payments and Billing

5.1 Subscription Fees

CampusDesk operates on a subscription model with the following terms:

  • All fees are exclusive of applicable taxes (GST)
  • Subscription fees must be paid in advance
  • Prices are subject to change with 30 days notice
  • No refunds for partial months or unused features

5.2 Payment Methods

We accept various payment methods including bank transfer, UPI, and online payment gateways. All payment processing is secure and encrypted.

5.3 Late Payments

Failure to pay subscription fees on time may result in:

  • Suspension of Service access
  • Limited functionality until payment is received
  • Data retention for 90 days after suspension

5.4 Cancellation

You may cancel your subscription at any time. Upon cancellation:

  • Access continues until the end of the current billing period
  • No refunds for prepaid unused time
  • Data export options are available for 30 days after cancellation

6. Service Level and Uptime

6.1 Uptime Commitment

We strive to provide 99.9% uptime for our Service. However, we do not guarantee uninterrupted access and are not liable for:

  • Scheduled maintenance windows
  • Force majeure events (natural disasters, internet outages)
  • Third-party service failures
  • Issues caused by user equipment or internet connection

6.2 Maintenance

We may perform scheduled maintenance with prior notice. Emergency maintenance may be performed without notice when necessary for security or stability.

7. Intellectual Property

7.1 Our Rights

CampusDesk and its original content, features, and functionality are and will remain the exclusive property of AIORS IT Services. The Service is protected by copyright, trademark, and other laws of India and foreign countries.

7.2 License

We grant you a limited, non-exclusive, non-transferable license to use our Service for your school's internal operations. This license does not include:

  • Modification or derivative works
  • Resale or commercial exploitation
  • Reverse engineering or source code extraction
  • Removal of proprietary notices

7.3 Feedback

Any feedback or suggestions you provide may be used by us without restriction or compensation to you.

8. Limitation of Liability

8.1 Disclaimer

To the maximum extent permitted by law, we shall not be liable for:

  • Indirect, incidental, special, or consequential damages
  • Loss of profits, revenue, data, or business opportunities
  • Damages arising from service interruptions or data loss
  • Issues caused by third-party services or integrations
  • Unauthorized access to your data despite our security measures

8.2 Liability Cap

Our total liability for any claims under these terms shall not exceed the amount you paid us in the 12 months preceding the claim, or INR 10,000, whichever is greater.

8.3 Indemnification

You agree to defend, indemnify, and hold harmless CampusDesk, AIORS IT Services, and their employees from any claims, damages, or expenses arising from:

  • Your use of the Service
  • Your violation of these Terms
  • Your violation of any third-party rights
  • Content you upload or transmit through the Service

9. Termination

9.1 Termination by You

You may terminate your account at any time by contacting us at info@campusdesk.online. Termination takes effect at the end of the current billing cycle.

9.2 Termination by Us

We may suspend or terminate your account immediately, without prior notice, for:

  • Violation of these Terms of Service
  • Non-payment of subscription fees
  • Fraudulent or illegal activities
  • Harm to other users or our systems

9.3 Effect of Termination

Upon termination:

  • Your right to use the Service immediately ceases
  • We may delete your data after the retention period (90 days)
  • Provisions that should survive termination remain in effect
  • No refunds are provided for prepaid services

10. Changes to Terms

We reserve the right to modify these Terms at any time. Changes will be effective immediately upon posting the updated Terms on our website.

  • We will notify you of material changes via email or website notice
  • Your continued use of the Service after changes constitutes acceptance
  • If you do not agree to the new terms, you must stop using the Service

These Terms, together with our Privacy Policy, constitute the entire agreement between you and CampusDesk regarding the Service.

12.2 Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full effect.

12.3 Waiver

Our failure to enforce any right or provision of these Terms does not constitute a waiver of such right or provision.

12.4 Assignment

You may not assign or transfer your rights under these Terms without our prior written consent. We may assign our rights without restriction.

12.5 Force Majeure

We are not liable for any failure or delay in performance due to circumstances beyond our reasonable control.
